We are an internationally operating company with offices across Europe, Asia and the United States. We are looking for an Operations Assistant to join us in our office located right in the heart of Midtown Manhattan.

Primary Duties & Responsibilities

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors and outside inquiries by maintaining employee and department directories.
  • Maintains the professional appearance and overall cleanliness of the office environment.
  • Receive and screen incoming phone calls, packages and mail correspondence.
  • Manage shared calendars for the meeting spaces in New York office as well as manage the individual calendars of executive leadership.
  • Miscellaneous clerical duties such as scanning, copying and filing paperwork.

Other Duties & Responsibilities

  • Assist with the tracking of stationary and other office supplies and re-order stationary as necessary.
  • Assist with planning and execution of company events and client entertainment; such as researching venues, contacting vendors, negotiating prices and organizing logistics.
  • Assist with the maintenance of company documents and records, including employment paperwork.
  • Assist with the tracking of expenses and accounts receivable.
  • Assist with booking employee and executive travel for business trips; liaise with 3rd party travel agent.

Required Skills & Qualifications

  • High school diploma or GED.
  • Proficiency in Microsoft Office Suite (i.e. Outlook, Word, Excel, PowerPoint) and other computer programs/applications.
  • Positive attitude and friendly demeanor.
  • Ability to follow instructions and work independently.
  • Strong written and verbal communication skills.
  • Ability to work in a fast-paced environment.
  • Attention to detail and strong organizational skills.

Preferred Skills & Qualifications

  • Bachelor's degree.
  • 1-3 years of professional work experience in an office environment.
  • Excellent time management skills and ability to work with limited supervision.
  • Proactive mindset with demonstrated ability to solve problems before they arise.
