The Senior Procurement Manager (Indirect Buy Desk Operations) is responsible for establishing an indirect buying and tactical team to drive improved indirect spend management across the enterprise. This role will be responsible for building a team and tracking their ongoing performance seeking continual improvement in efficiency, effectiveness and cost reduction. A key responsibility for the indirect Buy Desk Operations leader is to scale the operations globally across the enterprise. Also, this position has responsibility for executing operational procurement activities to obtain products and services leveraging preferred suppliers and contract pricing. This includes managing and supporting requisition PO processes initiated by the users to ensure compliance with Corporate and Global Supply Chain policies and processes while at the same providing an exceptional customer experience. Additional key activities of this team include validation of requisitions, validation of compliance to contract pricing and terms, creating purchase orders, quoting, competitive bidding and contracting.

Essential Job Function

  • Establish an indirect buy desk operations team and monitor the performance of the team through KPI reporting
  • Facilitate change management across the enterprise as the buy desk operations solution is rolled out
  • Manage team of buyers/administrators to ensure timely and accurate processing of transactions
  • Enable functional transformation of the indirect spend across a matrixed organization
  • Establish seamless process for managing agreements, purchase orders and payments
  • Facilitate the purchase of services by clarifying requirements with requestors, soliciting supplier bids, evaluating quotations and selecting suppliers
  • Receive, consolidate and fulfill requisitions for Consulting, Finance, Marketing and IT categories that are assigned to the buy desk
  • Create and foster spend compliance programs / initiatives to reduce total cost and / or increase spend on contract, collaborating with appropriate parties, in category management, legal, etc. as necessary
  • Monitor usage of preferred suppliers, identify non-compliance and educate non-compliant users on the correct process
  • Partner with Category Management to continuously identify and monitor key categories that can be managed by the Buy Desk Agent and insure we are following the strategy
  • Coordinate with suppliers and business stakeholders to resolve issues such as past-due PO's, match exceptions, price/invoice issue resolution, and updating/incrementing PO's
  • Perform routine and as-needed compliance monitoring to contracts to monitor pricing, delivery and other KPI's as outlined in the contracts
  • Work closely with Accounts Payable to manage the P2P process and resolve discrepancies as required
Education & Experience
  • Bachelor's degree, finance or supply chain focus preferred
  • Minimum 8 years’ experience in purchasing/ buying roles; or any equivalent combination of education and experience. Shared service experience preferred
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Prior experience with Ariba or similar cloud eProcurement system strongly preferred
Essential Skills & Experience
  • Knowledge of market research, data analysis and purchasing leading practices
  • Demonstrable experience in negotiating prices and terms and conditions
  • Knowledge of Consulting, Finance, Marketing and IT category market landscape highly desired
  • Effective communication and collaboration skills, with the ability to motivate and influence others inside and outside of own organizational hierarchy
  • Ability to prioritize, organize and multitask in a flexible, fast-paced and challenging environment
  • Strong written and verbal communications skills; comfortable communicating with senior levels of both business and technology leadership
  • Demonstrable experience in leading change management
  • Demonstrable experience driving continuous process improvement
  • Previous Shared Service Experience a Plus
